Terms and Conditions

for the arrangement of retreat and travel services worldwide

Epona Horse Journeys – Effective as of March 26, 2026

  • 1 Scope

These General Terms and Conditions apply to all brokerage services provided by Epona Horse Journeys (hereinafter referred to as the “Broker”).

The Agent does not offer its own travel services but exclusively facilitates contracts between customers and external service providers (e.g., retreat centers, horse farms, hotels, tour operators, trainers).

The retreat or travel contract is concluded exclusively between the customer and the respective service provider.

  • 2 Role of the intermediary

The agent is a travel agent, not a tour operator within the meaning of Sections 651a et seq. of the German Civil Code (BGB).

The agent:

  • does not organize retreats or trips itself
  • does not determine the specific components of the service
  • is not responsible for the execution, quality, safety, or changes to the service

The service provider bears full responsibility for the proper performance of the booked service.

  • 3 Conclusion of the contract

By submitting a booking or inquiry via the website, the customer instructs the agent to facilitate a contract between the customer and the relevant service provider.

The contract is concluded as soon as the service provider confirms the booking.

The agent forwards this confirmation to the customer.

  • 4 Services Provided by the Agent

The agent is obligated to perform the following tasks:

  • Presentation of offers
  • Customer consultation
  • Booking arrangements
  • Forwarding of customer data
  • Payment processing as the service provider’s authorized representative
  • Forwarding of all relevant information from the service provider

The agent is not obligated to provide the booked service.

  • 5 Information on prices, services, and content

All information (prices, descriptions, images, content) is based on information provided by the service providers.

The agent is not liable for:

  • Changes to Services
  • Incorrect Information Provided by Service Providers
  • Availability
  • Service Disruptions on Site

The final scope of services is determined by the service provider’s confirmation.

  • 6 Brokerage Fee / Commission

The service is generally free of charge for the customer.

The agent receives their commission from the service provider.

If the customer pays the agent, the agent automatically retains their commission.

The agent acts as the service provider’s authorized representative for receiving payments.

  • 7 Payment – Collection by the Agent

The customer pays the total amount due to the agent.

The payment is accepted on behalf of and for the account of the service provider.

Payment process:

  1. The customer receives a payment request from the intermediary.
  2. The payment is credited to the intermediary’s account.
  3. The intermediary confirms receipt of the payment.
  4. The intermediary forwards the net amount (price minus commission) to the service provider.

Payment to the agent is considered payment to the service provider.

This does not make the agent a tour operator.

  • 8 Changes & Cancellations

For rebookings and cancellations, only the terms and conditions of the respective service provider apply.

The agent is obligated to:

  • Process cancellations
  • Forward them to the service provider

Decisions regarding refunds or fees are made exclusively by the service provider.

  • 9 Travel documents

Upon receipt of the booking confirmation, the customer is required to:

  • Check all information
  • Report any errors immediately

The agent is not liable for travel documents from the service provider that are delivered late or contain errors.

  • 10 Liability

The broker is liable only for damages resulting from its own errors in brokerage.

The broker is not liable for:

  • Conduct and Quality of the Retreat
  • Program Changes
  • Cancellations, Injuries, Animal-Related Risks
  • Force Majeure
  • Insolvency of the Service Provider
  • Travel or Safety Issues

Client funds are held in trust and transferred in accordance with the contract.

  • 11 Customer Responsibilities

The customer agrees to:

  • provide complete and accurate information
  • assess their own medical fitness
  • verify that they have the necessary travel documents (passport/visa)
  • obtain the necessary insurance coverage (travel cancellation, international health insurance)
  • 12 Privacy Policy

The intermediary’s privacy policy applies.

Customer data will only be shared with service providers if necessary for the provision of services.

  • 13 Final Provisions

German law applies.

The place of jurisdiction is—to the extent permitted—the agent’s place of business.

Should any individual provisions be invalid, the remainder remains valid.

Withdrawal, Cancellation & Termination

No Right of Withdrawal for Travel Services

There is no right of withdrawal for brokered travel and retreat services pursuant to Section 312g(2)(9) of the German Civil Code (BGB).

Cancellations

Only the cancellation policies of the respective service provider apply.

Examples (you can adapt these for each partner):

  • Up to 60 days in advance: 20%
  • Up to 30 days in advance: 50%
  • 14 days or less: 100%

The actual terms and conditions will be displayed during the booking process.

Booking Changes

Booking changes are subject to the service provider’s discretion.

The agent cannot guarantee booking changes.

Refunds

The service provider alone decides whether refunds will be issued and, if so, in what amount.

The agent cannot promise refunds.
